Order fields, identifiers and stock status · PTCB / PTCE

9 min + practice · Original foundation lesson

Separate dose, frequency, total quantity, duration and product tracking information.

Objective and role boundary

Separate dose, frequency, total quantity, duration and product tracking information. This lesson uses fictional records and original cases to practise a processing decision. The examples do not authorize a therapeutic change or replace the actual product instructions, pharmacist review, federal and state requirements, or pharmacy procedures.

Distinctions that matter

Distinguish prescription-processing quantities. Dose states the amount used at one administration. Frequency states how often an administration occurs. Quantity states the number or amount supplied. Days supply estimates how long the supplied amount lasts under explicit directions. Distinguish product tracking fields. An NDC identifies a labeled drug product/package entry; it is not a patient identifier. A lot identifies a manufacturing batch. An expiration date states the labeled time boundary under stated storage. A prescription number identifies a local prescription record. Separate stock disposition categories. A stock item still needs complete identity, integrity, date, and order checks before dispensing. Expired stock is removed from routine available inventory under the pharmacy process. Affected recall or quarantine status prevents ordinary supply. Unreadable or missing critical information needs resolution.

Worked contrasts

A training direction says take2tablets at each administration. Which quantity is2tablets? Check:Dose per administration. The value is the amount used at one administration. A training direction says take a dose three times daily. Which field describes three times daily? Check:Frequency. The phrase describes how often doses occur. A stock system asks for the drug product/package identifier rather than a batch or patient record. Which field fits? Check:NDC identifier. The NDC is the product identification field. A recall requires identifying a manufacturing batch. Which field is central? Check:Lot number. The batch is represented by the lot number.

Transfer and check

The lot and expiration cannot be read. What status applies before the information is resolved? Try the question before reading the check. Check:Uncertain status requiring clarification. A missing critical identity or date field prevents assuming readiness. Unreadable or missing critical information needs resolution. The matching choice isUncertain status requiring clarification. Compare the actual requested field or workflow stage with each alternative rather than choosing a generally related statement. Explain which alternative confuses the requested information with a related field or task.

A reliable processing habit

Pause at an unresolved discrepancy. Keep the original order, product information, and patient report available for the authorized reviewer. Do not turn a missing field into a negative finding, and do not use a usual value to fill an unclear dose. When calculation is required, carry the units throughout and check the result against the given relationship. Record the actual clarification rather than silently replacing the original information.

WORKED EXAMPLE

A training direction says take2tablets at each administration. Which quantity is2tablets?

  1. The value is the amount used at one administration.
  2. Dose states the amount used at one administration.
  3. The matching choice isDose per administration. Compare the actual requested field or workflow stage with each alternative rather than choosing a generally related statement.
Answer: Dose per administration
Compare the other answer choices
Frequency

Frequency states how often an administration occurs. The given case instead establishes:The value is the amount used at one administration.

Total quantity supplied

Quantity states the number or amount supplied. The given case instead establishes:The value is the amount used at one administration.

Days supply

Days supply estimates how long the supplied amount lasts under explicit directions. The given case instead establishes:The value is the amount used at one administration.

Try it, then explain it.

Complete a short set without looking at the example. After each answer, explain which evidence or rule supports your decision and why the alternatives do not fit.
